General Terms and Conditions of Leading Voices 2022
1.1 GENERAL
These General Terms and Conditions apply exclusively to Leading Voices 2022. The event will take place in Utrecht, the Netherlands, 27-31 July 2022. The organiser of the event is the Foundation Europa Cantat Utrecht with its partners European Choral Association and ZIMIHC.
1.2 PAYMENTS AND CANCELLATION POLICY
1.2.1 Payments
The registration fee needs to be paid in one sum.
The payment can only be done by non-cash payment (ideal, PayPal, credit card or other options available in the online webshop of the event).
The administration costs are €5,- for all participants and are included in the registration fee.
The fee that is counted depending on your choice of payment is not included in the registration fee.
Anybody wishing to receive a reduction will have to prove their membership status with the Friends of the European Choral Association or with a member association of the European Choral Association and will have to prove that their membership fee 2022 has been paid by the time of the registration.
You will receive a confirmation of your registration within 24 hours of receipt of payment.
1.2.2 Cancellation Policy
The amount of the cancellation fee (for exceptions see below Force Majeure and Covid-19 related cancellation) depends on the time remaining until the beginning of Leading Voices 2022, as follows:
Cancellation before 1 April 2022 – 100% of the registration fee will be returned. The administration costs of €5,- can not be refunded.
Cancellation after 1 April 2022 – no refund.
Cancellation terms apply to all cases irrespective of the reasons for cancellation (for exceptions see below: Force Majeure and Covid-19 related cancellation). We suggest you take a travel insurance to cover the risks in case of illness, etc.
Non-participation without notification (“no-show”) – no refund.
1.2.3 Force Majeure
The organiser reserves the right to cancel the event due to exceptional circumstances or force majeure if such events occur before or during the implementation of the programme, which could not have been expected, eliminated or avoided, and for the organiser these circumstances constitute a valid reason not to be able to carry out the programme.
The organiser takes no responsibility for programme changes due to the occurrence of any force majeure before and during the event. In these cases, it can provide services to participants in a modified form, depending on the existing options.
If the organiser has to cancel the event (including reasons related to Covid-19), the participants are entitled to a full refund of the registration fee, minus €25,00 per person (€5,00 administration costs and €20,00 handling costs).
The organiser cannot be held responsible for the participants’ travel or accommodation costs. Participants are advised to secure their travel using an insurance company. The organiser is not responsible for delays of aircraft, ships or trains, nor for any changes in the programme that would occur as a result of such delays.
1.2.4 Covid-19
If participants have to cancel their registration due to the following reasons related to Covid-19, they are entitled to a full refund of the registration fee, minus the administration costs of €5,00 and minus €20,00 handling costs per person.
Participants come from a country that is considered a risk by the Dutch government so that they cannot travel or would be forced to go into quarantine after entering the country; the Netherlands are considered a risk by the government in the country of residence of the participants, and they would thus be forced to go into quarantine upon their return from the Netherlands; A flight/bus /train was cancelled due to Covid-19.
In all cases participants will have to provide proof (printouts of official lists of risk countries, the proof of cancellation of travel) with an indication of the reason for cancelling.
It is advised to buy a travel insurance that covers your costs related to the cancellation because of Covid-19
1.3 STATEMENT ON PHOTOGRAPHY, RECORDING AND BROADCASTING
By registering for Leading Voices 2022 participants give their consent for photo, audio and video recordings of event-related activities and their use as regulated in the following paragraph. Anybody registering a person will have to ensure that written consent has been given by all participants of the group/choir registered.
The registration is considered a digital signature of the ‘Statement of Responsibility’, by which participants give permission to the organisers (Foundation Europa Cantat Utrecht as well as its partners ZIMIHC and European Choral Association) to capture, store, process and use any photos, audio and video recordings of the participants listed on the application form. The organisers may use these photos and videos in their communication (electronic and print), their websites, their social networks (Facebook, Instagram, Twitter, YouTube, LinkedIn or Snapchat) and other social media, all with the aim of promoting and documenting Leading Voices 2022 and promoting future events.
By registering for the event, participants accept that the organisers or third parties authorised by the organisers may record/ photograph all live performances during the festival and reproduce and distribute copies of such recordings, or broadcast, transmit, and make them available to the public in any other way, during or after the live event.
Participants shall not claim any fee, royalties or other remuneration as compensation for the anticipated use of the recordings or photographs taken by the organisers or any third party who is or shall be authorised by the organisers to make or use such recordings and photographs.
Participants consent to the audio-visual adaptation or transformation of recordings or photographs which may be necessary because of general or particular technical requirements or limitations, or which is required in the synchronisation process or post-production, and is customary in the broadcasting or audio-visual production industry.
1.4 PROTECTION OF PERSONAL DATA
The organisers will use and store the personal data of the participants in accordance with the policy for the protection of individuals in the processing of personal data that is followed by the organisers, as regulated by Directive 95/46/EC (General Data Protection Regulation). The Foundation Europa Cantat Utrecht, ZIMIHC and the European Choral Association primarily processes personal data for the purpose of concluding or fulfilling a contract, but may also process it for the purposes of direct marketing and informing about future events of ZIMIHC and/or the European Choral Association and statistical processing. They will not pass on the data to third parties, except where this may be required by the law (e.g. for contact tracing in relation with Covid-19) or when participants have explicitly given their consent (e.g. because they want their contact information to be passed on to another person). Requests regarding a participant’s rights in the field of security and free movement of personal data are accepted at the email address info@leadingvoices.nl, or by post at ECU, Bouwstraat 55, 3572 SP Utrecht, the Netherlands.
1.5 MODIFICATIONS IN THE PROGRAMME
The organiser reserves the right to modify the programme up to the day of the event. The organiser puts the programme together carefully and based on different sources and aims to provide the most up-to-date and relevant programme. This means that occasionally the programme changes over the duration of the campaign. Other times it may be necessary, due to unforeseen circumstances, to alter the programme, venue and/or speakers. Regrettably, this means no refunds or credit-notes can be issued in line with the cancellation policy.
